Medical Operations Administrative Assistant

MedVet Medical & Cancer Centers for Pets, headquartered in Worthington, Ohio, is searching for a Medical Operations Coordinator to join our team. This position will partner with the Medical Operations team to support operations, MedVet initiatives, mergers and acquisitions and business functions of MedVet veterinary practices within the organization. This position is an essential contributor to the growth of the company to ensure MedVet's ongoing success.

Adjunct Support provided to:

  • Vice President of Medical Technology
  • Director of Imaging

Responsibilities include, but are not limited to:

  • Coordinate travel and manage travel expense reconciliation
  • Coordinate Calendars and generate meeting invitations
  • Create meeting agendas and record meeting notes
  • Review and maintain various shared One Note files
  • Assist team in delivering a positive experience to representatives of future merger and acquisition practices during visits to headquarters.
  • Track and report key metrics designed to measure and predict success of key initiatives owned by the Medical Operations team.  (Continuous Quality Improvement visits)  
  • Collaborate with other coordinators/members of operations as needed to ensure successful organization integrations.  
  • Review, edit and update job descriptions as needed
  • Create/review, edit and update procedure manuals and training materials.  Also responsible for organization of these files.
  • Efficiently manage own work flow and processes
  • Responsible for coordination of onboarding/training schedules of new team members

Our ideal candidate has one or more years of experience in administrative/client service role or related experience. Experience in the medical and/or veterinary industry is a plus but not required. In addition, this position requires:

  • Flexibility and drive to meet tight deadlines, assist on multiple projects and prioritize them appropriately. Flexible schedule to support team after hours and on weekends.
  • Excellent interpersonal, organizational, multi-tasking and communication skills
  • Proficient computer skills including the Microsoft Office products
  • Ability to deal with confidential information
  • Detail Oriented

Shift:  The position is full time, first shift.  Weekends, on-call and holidays based on needs of the department.
